Admin cum Accounting Intern

Job Description

A/ What you will be doing:

You will be a member of the Finance, Operation, and Compliance team and be responsible for the following tasks:

1/ Administration: (About 60-70% workload)

  • Manage office supplies, amenities, catering requests, and service to employees.
  • Ensure the office is well organized, clean, and neat.
  • Execute the company policies of employee care and benefits (welcome gifts, gifts for life events, gifts for work anniversaries, annual health check-ups, private insurance, parking tickets, etc.).
  • Support in organizing teambuilding activities.
  • Manage employee attendance and types of leaves as per the company’s regulations and do accurate monthly attendance reports for salary payments.
  • Be responsible for reception and administrative tasks such as answeringphone calls and forwarding them to related people if necessary, receiving and delivering company letters or packages, and supporting company guests…
  • Make simple periodical government reports.
  • Other low-complexity tasks include supporting other business units with data entry if ever needed.

2/ Finance and accounting: (About 30-40% workload)

  • Receive and process accounting documents and payment requests (Up to 15 requests/week).
  • Be responsible for reconciling payable and receivable accounts (1 customer – our mother company with 1 invoice/month and 5 key suppliers with about 3 -10 invoices/month).
  • Book all accounting entries in the accounting system (e.g., Misa). (Up to 150 entries/month).
  • Make monthly tax declarations.
  • Other tasks assigned.

Note: Our financial activities are mostly internal; we don’t do business in Vietnam and mostly serve our parent company in Switzerland.

B/ What you need to have:

You should own the following qualifications to be shortlisted for the position:

  • Freshers or final-year students who are able to work 60-100%in at least 6 months.
  • Have a study background in an Economics-related field, preferably Business Administration, Accounting, Finance, Banking…
  • Can communicate in English.
  • Be strong at Word and Excel, including task automation.
  • Be a great and creative problem solver who focuses on work impact.
  • Be willing and excellent at multitasking and work organization.
  • Have a proactive, meticulous, positive, and energetic personality.
